2. How to Define Your Priorities (What Actually Matters to You?)
The first step in using effective task prioritization techniques is ranking your priorities based on impact. This will help you focus on what really moves the needle forward in your life. Everyone’s priorities will look different depending on their life stage, goals, and responsibilities.
The first step is to rank your priorities based on impact. Ask yourself:
🔹 What absolutely must get done, no matter what? (Work, paying bills, essential commitments)
🔹 What moves me closer to my long-term goals? (Career growth, fitness, personal development)
🔹 What can be flexible without ruining my progress? (Hobbies, social time, minor tasks)
Here’s how I personally rank my priorities:
1️⃣ Job (Money-Making Priority)
- My job comes first because it pays the bills.
- If nothing else gets done, my work obligations do.
2️⃣ Content & Social Media Growth
- This is my future career, so I treat it as a serious commitment.
- If things don’t go as planned, I prioritize content over lower-priority tasks.
3️⃣ Fitness
- While important, it’s flexible. If I miss a workout, I can still stay on track by eating healthy.
- Fitness is holistic, so I don’t stress about missing a day—I just focus on consistency over time.
4️⃣ Books, Anime, & Social Time
- Hobbies and socializing are important, but they aren’t my main focus right now.
- Instead of scheduling my life around them, I sneak them into my daily routine (more on that below).
💡 Your priority list will look different. Someone who prioritizes family and community might put social time much higher. The key is to be honest about what matters most to YOU in this season of life.
3. How to Structure Your Day Around Your Priorities
The Priority-Based Planning Method is one of the best effective task prioritization techniques you can implement in your daily life. Once you’ve ranked your priorities, the next step is structuring your day so that what’s most important gets done first.

2️⃣ Identify Your Must-Do Task – If you could only complete one thing today, what would it be?
3️⃣ Schedule High-Priority Tasks First – Do what matters before you run out of energy.

- Morning: Job tasks & responsibilities
- Midday: Content creation & engagement
- Evening: Gym (or if skipped, focus on eating healthy)
- Night: Sneak in an audiobook or anime episode
This method ensures that even on your busiest days, you’re still making progress where it matters most.
4. The “One Thing” Rule: How to Stay on Track on Overwhelming Days
Let’s be real—life happens. You won’t always get everything done, and that’s okay.
On days when you’re feeling overwhelmed, ask yourself one simple question:
What’s the ONE thing I can do today that supports my top priority?
- If I’m swamped with work, I focus on job-related tasks and push content creation to the next day.
- If I don’t feel like filming content, I at least engage with my audience or outline ideas.
- If I don’t feel like working out, I focus on making healthy eating choices instead.
This way, I always make some form of progress, even on low-energy days.
5. How to Sneak in Hobbies Without Losing Focus
If you’re busy but still want to make time for reading, anime, or socializing, the best approach is to integrate them into your daily life.
📚 Audiobooks While Doing Other Tasks
• I listen to audiobooks while cleaning, driving, or warming up at the gym.
• This allows me to “read” without setting aside extra time.
📺 Anime During Downtime
- I watch anime during dinner or while doing light tasks.
- If I don’t have time to watch, I’ll listen to anime recaps while working.
🎉 Social Time in Small Moments
- I send quick voice notes to friends instead of long calls.
- I catch up with family over dinner or short meetups instead of long hangouts.
💡 The takeaway? You don’t need to completely cut out your hobbies—you just need to fit them into your life in a way that works for you.
6. Using Prioritization in Your Planner
Your planner should reflect your priority system so you always know what to focus on.
✔ Color-Code Your Tasks → Assign colors to different priority levels (e.g., red = must-do, yellow = medium priority, green = flexible).
✔ Use a Top 3 List → Each morning, write down the three most important tasks you need to complete.
✔ Leave Room for Flexibility → Don’t overfill your schedule—allow buffer time for unexpected changes.
✔ Set Non-Negotiables → Identify one task per day that, no matter what must get done.
